One of our most memorable site visits, this is a fantastic venue that oozes energy and creativity. This is a secure location due to major car manufacturers testing new concept cars which makes it an ideal venue for clients with sensitive or secure content. Staff are flexible and happy with many crazy and weird requests – they have nearly seen it all!

This venue is located in Northern France and provides easy access links for international travellers. This convention centre is very accommodating and the staff are used to working with many different international clients.  Although we have worked with them on a number of events we are always impressed at the quality and convenience of the service provided.

Since opening in 2010, this hotel has built on its strengths to continue its reputation as a 4* luxury hotel. Evolution Live have organised and produced a number of events at this venue and enjoy the ease of working with their teams to provide the best events possible. The hotel provides an efficient service and the facilities are modern and spacious.

Last but not least, Jonny and David went to see Stoke Mandeville Stadium (home of the Paralympics) in Buckinghamshire. There are new facilities on site, and renovations have been completed in time for the Paralympics; the venue will be used throughout the Olympic period on various events. This space is a community centre and due to the recent activities has become a centre of excitement for the sporting events to come.

Many clients or competitors chose to opt out of site visits due to time management issues, staff and travel costs. 

It’s easy for us to justify taking the time to go on a site visit. It means we are able to talk to the staff on site who will be working with us throughout the planning process, walk through the various scenarios of the event, eliminate potential access issues, and generally envisage the event in the right context. It also enables us to build relationships with our clients, and allow them to visualise how their event will look on the day. At this stage we can often prevent potential issues from arising, and re-look at the way we have planned to do something so it is the most efficient and effective for our client.

April 2012. Wingrave, UK. Evolution International Group Limited(EIGL) have heeded the advice of Prime Minister, David Cameron when back in November 2010 he announced that Asia was key to UK prosperity and that for the UK economy to grow, it should look further afield.

In August last year, EIGL, headquartered in Wingrave, Buckinghamshire decided to build on the success of its European and America’s business, Evolution Live – renowned for creating unforgettable events that motivate, inspire, captivate and inform. EIGL chose to follow Prime Minister David Cameron’s words by establishing Evolution Live Asia Pacific in Thailand to grow the Group’s business and global reach.

The Bangkok based team immediately set to work establishing local contacts and was quickly rewarded by winning its first major account with InterFace Flor, a Global commercial flooring manufacturer with a local base in Singapore.

Crew from Evolution Live in the UK, flew out to Hanoi where the Interface Flor event took place to lend their expertise enabling Evolution Live Asia Pacific to deliver beyond the initial specification and greatly exceed our client’s expectations.

We used Evolution Live’s traits of creating world-class events, allied with a local understanding and appreciation of the cultural differences to design, produce and deliver the event. The 4 day conference included gala dinners, workshops, team building exercises and new product launches. The key messages were carefully thought out and linked by our team through every aspect of the programme. The Evolution Live Asia Pacific team were able to create a truly successful event that inspired, motivated, captivated and informed InterFace Flor’s guests.

Our Solution…

For complete flexibility and immediately recognisable scenes, we selected a TV Station theme. The delegates became the audience in a “live” TV Studio. Presentations would be delivered in a variety of familiar TV programme styles. Current Affairs show styles were chosen to maintain a more serious note.

From the moment the studio signs turned to “on air”, the day flowed with the precision of a well-tuned TV station. CYFAS TV featured many shows including The Movie Premiere, Working Lunch, Sports Report and How to Look Good Naked. The afternoon break outs in the smaller studios featured a full court room set-up for Law and Order UK, Question Time from Blackpool, Panorama and The Dragons Den.

When designing an event, Evolution Live includes the construction of detailed CAD designs of the Event Staging, produced precisely to scale and replicating true-to-life colours, textures and lighting.

Our  clients  find  this service  refreshing as it  provides  them  with a  real insight  into  both  the   visual  impact  of  our  designs  and  the  structural implications relative to the venue.

We    believe     it     is    important    to    couple    CAD     imaging     with accurate preliminary site visits and so offer this as part   of our service.  These  two  components  in  tandem   give  us   a  precise set  of   parameters  providing a  framework  for  our   designs and ultimately defining  the scale of our production.

Our  floor  plans are accurate to the  millimetre, giving  our team and   our   clients  the   confidence  that  we  are   realistic   in   using the  space   to  its   maximum   potential   whilst  ensuring  we   are considerate to the comfort of guests.

Evolution Live  also  produces  CAD images  for venues, providing  detailed  site  plans  and   example layouts for virtual tours  and   brochures,  providing  invaluable   information  to  their  customers  in a  clear  and  relevant  format.

Most recently, we were tasked with assisting Leica in their October 2010 road show taking in 11 venues around the UK in just three weeks.  Working up a list of venues across the UK from London to Inverness, Dublin, Belfast and everywhere in-between, we started with rough geographic locations and estimated audience numbers, performing a national search for venues that would slot into the road show whilst also being of adequate quality for client engagement events. Specifications included: ample parking, easily accessible, outside space, conference area, exhibition area and break out spaces.

As the road show ran in October, (a peak conference month), it was all the more difficult to find suitable venues with the appropriate dates available to slot into the road show schedule.  Our team  was also tasked with finding suitable accommodation (close to venue and within budget) for the Leica road show delivery team (10 – 20 pax).

Needless to say, Lisa (‘Event Manager Extraordinaire’) worked her magic, not only providing a shortlist of suitable venues and negotiating the best rates but also exceeding client expectations with her selections and some clever route planning, making the best of the distance between the various towns and cities, she managed to reduce their usual 5 week road show down to just 3 weeks.

Change was the answer for Evolution Live and part of that change has been to create one single office space for the production and the administration teams.

For a number of months we have been reviewing our organisation to understand how we can streamline and work more effectively. We identified a small issue that was having a significant impact on our ability to operate as a team and share information – we were split over two offices (just a stone’s throw apart) but the impact was significant with groups operating in silos. So we literally took the hammer to the dividing wall, creating one workspace and the improvement has been palpable. In a very short space of time, the team has become more tightly knit, sharing thoughts and ideas and most importantly, the net outcome is that we are better and quicker at responding to our customers’ needs. Champagne and croissants were the order of the day, to celebrate the completion of the transition and add a touch of occasion to the day when we became one unit.

As Evolution strides into our peak season, serving events at least 4 days out of 5, the technical production team closely coordinates the movement of kit from our warehouse to sites all over the country, the event delivery team coordinates venues, theming, technicians, bands & travel and the admin staff make sure that everyone is getting paid, ensuring the super smooth delivery of our events.

The machine that is Evolution Live has received a little lubrication and we’re working harder and smarter than ever before.

A number of other updates are on the horizon including the upgrade of our editing studio to HD and the introduction of a new technology that will allow us to deliver amazing and large visual shows at a fraction of the cost… so watch this space.
