Most recently, we were tasked with assisting Leica in their October 2010 road show taking in 11 venues around the UK in just three weeks.  Working up a list of venues across the UK from London to Inverness, Dublin, Belfast and everywhere in-between, we started with rough geographic locations and estimated audience numbers, performing a national search for venues that would slot into the road show whilst also being of adequate quality for client engagement events. Specifications included: ample parking, easily accessible, outside space, conference area, exhibition area and break out spaces.

As the road show ran in October, (a peak conference month), it was all the more difficult to find suitable venues with the appropriate dates available to slot into the road show schedule.  Our team  was also tasked with finding suitable accommodation (close to venue and within budget) for the Leica road show delivery team (10 – 20 pax).

Needless to say, Lisa (‘Event Manager Extraordinaire’) worked her magic, not only providing a shortlist of suitable venues and negotiating the best rates but also exceeding client expectations with her selections and some clever route planning, making the best of the distance between the various towns and cities, she managed to reduce their usual 5 week road show down to just 3 weeks.

 The two day conference specialises in the science behind crime with audience numbers of approximately 170.  Its not all work for the delegates though as tonight there will be a gala dinner with various games for the guests to enjoy; including a Cowboy shoot-out competition, and laser quest all supplied by Evolution Live.

The clues were displayed in the shop windows following an educational theme which allowed the children to have fun whilst learning and encouraged them to get involved.

The event was well received with just under 300 children taking part and exploring the High Street for clues. The prizes ranged from a Wii fit to a family membership for the National Trust; and entertainers included Balloon modellers, Stilt walkers and face-painters. The event was free to Aylesbury Vale Residents.

Checklist for Events

Whilst the format was the same as previous years, the challenge was to create an impactful & motivating theme to the event. After coming up with a ‘Space’ theme, we created the visual impact by using our remarkable 60 ft wide screen & precision projection.

We took the space theme through the entire event, from the star-studded entrance, through to spaceships games for delegates & a rocket ice-luge at the drinks reception.

Overall, a really exciting event!

Evolution Live ensured that the message was entwined and emphasized in all activities over the 2 day conference and gala dinner. Evolution Live’s main idea was to arrange and deliver a cooking demonstration using the company’s key products which could be incorporated into the dinner menu to ensure delegates were actively engaged

The conference was a great success – so much so, that the company’s President Malcolm Swift said ‘The pre-event detail and on-site management together with the service, professionalism and dedication from the Evolution Live team together with the way they interpret our requirements and brief exactly which helped ensure the success and smooth running of events – I would personally recommend the services of Evolution Live to other companies’

Large-scale videography was projected across the whole back wall with crisp precision, so guests felt like they were witnessing the missiles flying from close-by. Live camera relay was projected whilst the guests received awards – ensuring everyone could witness the winners reactions.

The MD told us the audience, including senior level customers and management from across Europe, had never seen anything like this before!
